The Darden School Foundation at the University of Virginia Darden School of Business seeks a highly motivated professional to join the team in support of the Darden Foundation Office of the President.
The *Executive Assistant to the President* manages the day-to-day operations of the Office of the President and serves as the primary contact for all internal and external constituents.
This role prepares correspondences and reports, schedules meetings, manages the department budget, and makes travel arrangements for the President and VIP guests while simultaneously managing several ongoing projects.
The Executive Assistant to the President develops engagement plans for VIPs in collaboration with the President and across the enterprise.
*Primary duties and responsibilities include:* *Executive Assistance* * Manage President’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating communications with internal and external stakeholders.
* Maintain President’s appointment schedule by planning and scheduling meetings, teleconferences, and travel.
* Manage President’s office budget and all related expenditures.
* Represent the President of the Foundation as needed.
* Liaise with internal staff for talking points and meeting materials.
*Board of Trustees/Darden Leadership Boards* * Organize talking points for Foundation President for board meetings, committee calls, weekly Chair calls and other VIP conversations.
* Manage special projects of the boards.
* Provide VIP relationship management and support.
*VIP Engagement* * Establish, execute, and manage engagement plans for the top strategic “VIP” relationships at Darden; develop specific and actionable plans for engaging these individuals closely with the School; collaborate with various business units across the enterprise to execute these engagement plans successfully to ensure that their engagement with Darden is meaningful and compelling.
* Collaborate closely with the Dean’s Office and the Advancement and Engagement teams to engage strategic people and companies in a comprehensive manner, to create opportunities for faculty engagement, interactions for VIPs and companies with students.
* Make connections for the VIPs with one another and with those at Darden who will play critical roles in their engagement; collaborate with faculty members and Darden staff to plan and direct personalized opportunities for VIPs to meet with School leadership, faculty, and students.
* Track outcomes of engagement with these top stakeholders and measures impact.
*Special Projects* * Serve as point of contact for alumni and VIP special interest applicants; manage process with President and Director of Admissions for Darden and President’s office of UVA.
* Plan and execute events in conjunction with the Admissions department in order to yield applicants (approximately 4-6 events per year).
* Manage Hot Topics courses (approximately 4 courses with 12 alumni per course); assist with developing list of alumni for faculty; manage logistics and strategic meetings for guests (collaborating across all departments at Darden), provide on-site support for guests; develop and oversee video production and release for 6 alumni each year.
* Manage Abbott Award process including communications to alumni and committee members, nominee profiles, and award and proclamation process.
*Other Responsibilities* * Manage weekly Darden visitors list for internal distribution.
* Lead and manage special projects and VIP events requiring cross-functional engagement with key staff and faculty across the enterprise, and with external stakeholders, as appropriate.
* Liaise with internal and external constituents on behalf the President to ensure effective communication and coordination for events and projects involving VIPs.
* Provide staff support at events or dinners involving board members or VIPs.
Travel as needed to support board meetings and key events.
* Other projects as assigned by the President of the Foundation, the Dean, and the Board of Trustees.
* Participates in and helps staff alumni, parents, and friends’ events.
*Successful candidates will have a proven track record that includes:* * Bachelor’s degree in business discipline or related field.
* Five-plus years of experience in a high paced business or professional environment.
* Experience in logistics management or executive administrative assistance is preferred.
* Fundraising knowledge is a plus.
* Exceptional research, project management and communication skills.
* Excellent written and verbal communication skills; ability to communicate with executive level corporate representatives.
* Customer service mindedness.
* Skill in exercising a high degree of initiative, judgment, discretion, and decision-making to achieve organizational objectives.
* Ability to work well under pressure and maintain a calm and positive demeanor.
* Ability to prioritize and manage multiple tasks and competing priorities simultaneously and be mindful of deadlines and schedules.
* Capable of thinking and executing strategically in partnership with the President while maintaining ongoing daily responsibilities.
* Ability to be flexible, available, and responsive to high priority projects.
* Ability to work independently with exceptional attention to detail.
* Some travel required.
