We are currently looking for an Administrative Assistant who is self-motivated and willing to contribute wherever necessary to join our team.

*Responsibilities*
* Receive all incoming phone calls with enthusiasm and direct calls to the person being requested.
* Screen sales calls and update lead database, as well as set up initial meetings with Managers.
* Utilize top technology in our industry including Co-Construct, Box.
com, Adobe, and Microsoft programs.
* Assist in purchasing material orders.
* Manage our cloud-based filling system Box.
com to assure file naming and location follows the company process.
* Assist with filing, closing, and assembling binder for homeowner at the end of projects.
* Assist with calendar scheduling and coordinating projects.
* Prepare, stamp, scan, and file payables and other documents.
* Pickup, open and sort mail as well as mailing checks.
* Maintain trade partner database to include updating contact information, and assuring all necessary documents are collected prior to work beginning.
* Run office errands and keep supplies up to date.
* Prepare agendas and attend meetings to take meeting minutes and distribute in a timely manner.
* Plus other responsibilities as they arise.
*Qualifications*
* Proven experience as an administrative assistant or relevant role
* Knowledge of office management systems and procedures
* Excellent time management skills and ability to prioritize work
* Attention to detail and problem-solving skills
* Excellent written and verbal communication skills
* Strong organizational skills with the ability to multi-task
* Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint)
* Knowledge of QuickBooks and/or CoConstruct is a plus
* High school diploma or equivalent
